Client

The Visitors’ Services Coordination Unit (VSCU) is responsible for implementing the Visitors strategy of the European Parliament (EP). Its main objective is to ensure a coherent management of the visitors’ services in future. A strategic axe of action was foreseen to streamline and upgrade the communication channels targeting visitors and potential visitors.

One of these important strategic implementation actions was to develop an integrated booking system for all visitors' facilities on both EP campuses in Brussels and Strasbourg.

Challenges

Different booking processes, business rules, restrictions and operational requirements at targeted facilities.
An assortment of non-integrated legacy applications for booking processes at different facilities.
Supporting the 24 official EU languages.
Different levels of digital awareness among the facilities’ staff.

Approach

Streamline the business processes and design a solution that will cover the needs of each facility:

Analyse the processes and document future states that will simplify and unify operations.
Design a modular and future-proof digital booking solution.

Implement the booking system and align the technology with the client’s strategic vision.

Implement a solution in line with the EP’s usability, accessibility, data privacy and security requirements.
Provide guidance and solutions for issues throughout the testing and implementation phases.
